TechFides: October 2026
The short answer: an AI answering service picks up your business phone on the first ring, answers common questions, books appointments, and sends you a summary of every call, day and night. For a trades business, a dealer, a salon, or a property manager, it costs less than one lost job a month. It is the wrong fit for medical and dental offices handling patient calls.
Here is the call you never hear about. You are on a ladder, or under a sink, or finally sitting down to dinner. The phone rings. You let it go. The caller does not leave a voicemail. They call the next name on Google, and that business answers.
You will never know that job existed. That is what makes missed calls so expensive: they do not show up anywhere.
What does an AI answering service actually do?
A good one does five things:
- Answers on the first ring, every time, including nights and weekends.
- Talks like a person, in plain language and in the caller's language, using your hours, services, and prices.
- Books the appointment straight into your calendar while the caller is still on the line.
- Routes emergencies to your cell right away. A burst pipe reaches you. A pricing question does not.
- Sends a summary of every call by text and email, so you start the morning knowing what happened overnight.
What it does not do is make judgment calls. Anything unusual goes to a person.
AI answering service vs. voicemail vs. a live answering service
| Voicemail | Live answering service | AI answering service | |
|---|---|---|---|
| Answers at 2 a.m. | No | Usually | Yes |
| Books appointments | No | Sometimes | Yes, into your calendar |
| Speaks the caller's language | No | Depends on staff | Yes |
| How you pay | Free | Usually by the minute or by the call | Flat monthly fee |
| What it costs you | Every caller who hangs up | Grows with call volume | Same bill in a busy month |
Voicemail feels free. It is the most expensive option on this list, because most callers who reach it simply hang up and call someone else.
What does an AI answering service cost?
Pricing models vary, so ask every provider the same question: does the bill go up when my phone gets busy? Per-minute pricing punishes you for growing.
Ours is flat. The TechFides AI Receptionist is $1,500 one-time setup and $499 a month. It is live in about a week, and you can cancel with 30 days' notice. For most trades and service businesses, one recovered job a month covers it.
Want to hear it before you decide? Call (855) 222-5008. An AI answers our phone too. What you hear is what your customers would hear.
When is an AI answering service the wrong fit?
This is the part most vendors skip.
Medical, dental, and mental health practices. A patient booking a cleaning gives their name, their reason for calling, and often their insurance. That is protected health information. An AI answering service is a hosted service, so those calls travel outside your building. Unless the provider signs a Business Associate Agreement, that is a HIPAA problem waiting to happen.
TechFides does not sign BAAs today, so we do not offer our AI Receptionist for patient calls. For practices, we build private AI on hardware in the office that handles notes, patient messages, and website questions without patient data leaving the building.
Businesses where every call needs judgment. If most of your calls are complex negotiations or sensitive conversations, an AI should take messages and route, not try to resolve.
Who uses it today?
Noel Group Advisory, a tax and wealth firm in Philadelphia, runs on our AI Front Desk. Its phone is answered day and night, and its website answers in four languages, including Haitian Creole. You can see it, and six other client builds, on our work page.
Every call our AI Front Desk answers becomes a summary with its urgency and next step on a front office dashboard, so nothing gets lost between the call and the callback.
The questions people actually ask
What is an AI answering service?
An AI answering service is a voice assistant that picks up your business phone, talks with callers in natural language, answers common questions, books appointments, and sends you a summary of every call. Urgent calls go straight to a person.
How much does an AI answering service cost?
Pricing varies by provider. The TechFides AI Receptionist is $1,500 one-time setup and $499 a month, live in about a week, with 30 days' notice to cancel. Live human answering services usually charge by the minute or by the call, so the bill grows with your call volume.
Is an AI answering service better than a live answering service?
For routine calls like booking, hours, pricing questions, and directions, an AI answers instantly, day and night, in the caller's language, at a flat price. A live service is better when most calls need human judgment or a personal relationship. Many businesses use AI for the routine calls and route the rest to a person.
Can an AI answering service book appointments?
Yes. It books into your calendar while the caller is on the line, using your hours, services, and booking rules, then sends you the summary.
Who should not use an AI answering service?
Medical, dental, and mental health practices should not route patient calls through a hosted AI voice service unless the provider signs a Business Associate Agreement. TechFides does not sign BAAs today, so we do not offer our AI Receptionist for patient calls.
How we handle it
We teach the AI Receptionist your business in about a week: your services, your hours, your booking rules, your tone. Then it answers your phone, and you get your evenings back.
